Position Summary

  Collects and administratively processes client information for existing Merchants & Corporates (B2B) and Consumers (B2C). You will handle information* provided by mostly Belgian, but also international, customers. In addition, you will ensure the update of related customer information in our IT systems.  *Read, verify, contact customers to obtain missing information and update systems accordingly.  

Principal Accountabilities

 
  • Process a specified number of customer dossiers per day, in line with desk instructions:
  • o   Chase customer information by phone, e-mail or post
  • o   Accurately and completely verify customer information in different official sources (ex: KBO Public Search, NBB/BNB, Staatsblad/Moniteur)
  • o   Capture and update customer information in Alpha Card’s IT systems
 
  • Handle customer requests (phone, mail)
  • o   Explain the motivation for the information requests to customers and convince them to cooperate, in a customer-friendly way
 
  • Perform other administrative tasks such as dossier review, scanning, archiving; performing administrative research or provide on-the-desk training to new colleagues
 
  • Develop strong effective relationships with the other members of the Customer Identification team, the Sales team and other Customer Maintenance teams.
 
  • Organize and prioritize work, ensuring quality output in line with agreed deadlines

    • o   Excellent verbal and written communication skills
    • o   Bi-lingual: French or Dutch (native or similar); Intermediate level English
    • o   Strong customer focus in any customer communication: be customer-friendly, professional, synthetic, but also persuasive and decisive – get a commitment from customers
  • Computer skills
    • o   Computer-literate, confident and able to quickly learn using multiple new IT systems
    • o   Good knowledge Outlook and Excel
    • o   Ability to efficiently research information on the internet
  • Social skills
    • o   Be a team-player
    • o   Be punctual and discrete
 

Desired skills and experience

 
  • Extended knowledge of Excel, Outlook, Word (and potentially Access)
  • Knowledge of French, Dutch and English
  • Experience in administrative processing of customer files
  • Customer service or relationship management experience
  • Basic knowledge of legal company types, company ownership structures and types of company officials (Board, Shareholders, Authorized Singers, …)
 

Work status and schedule

  • Full time
  • 9am to 5pm
